Why specialised freight forwarding technology, deep industry knowledge and the hard work of standardisation matter

 

There is a temptation in technology to believe that every industry is one clever integration, AI model or automation away from transformation.

 

Freight forwarding is different.

 

There are certainly quick wins available, and the industry should embrace them. But the deeper problems in freight forwarding cannot be solved overnight because the complexity itself cannot simply be removed.

 

To build technology that genuinely works for freight forwarders, you first have to understand what freight forwarders are actually being asked to manage.

 

And that takes hard work.

 

Freight forwarding is not a single, standardised process. Every forwarder operates differently, specialising in different markets, commodities and services, with its own processes, workflows and ways of managing freight.

 

At some point, much of what surrounds us has travelled through a supply chain.

 

Behind those movements can sit importers, exporters, manufacturers, shipping lines, airlines, co-loaders, suppliers, customs brokers, depots, terminals, warehouses, trucking companies and government authorities, coordinated by a freight forwarder and increasingly expected to connect through its systems.

 

Now multiply that complexity across hundreds of ports, countries, languages, regulatory environments, commodities and constantly changing global conditions.

 

Then multiply the complexity again. The same charge can have different names depending on the carrier, country or supplier. Different Incoterms or supplier contracts. The same information can arrive in completely different document structures and data formats. A shipment leaving one country must satisfy the requirements of another, while regulations, surcharges, schedules and operating conditions continually change. Wars, port disruptions, geopolitical events, seasonal biosecurity measures and regulatory changes can alter what was considered a standard movement almost overnight.

 

Then add the commodity itself. General cargo is one thing; Dangerous Goods, perishables, pharmaceuticals, oversized freight, ISO tanks, gases or biosecurity-sensitive commodities introduce entirely different layers of knowledge and operational requirements.

 

This is also an industry where deep expertise is built over years, not weeks. Limited formal training can hardly teach the fundamentals, it is difficult for any course to prepare someone for the sheer number of specialised scenarios they may encounter throughout a freight-forwarding career. The learning never really stops. New customers introduce new requirements. New commodities introduce new rules. New trade lanes introduce new regulations. New disruptions create new exceptions. Experience is accumulated use case by use case.

 

So how do we expect a digital system or AI to understand and safely manage all of this?

 

Systems cannot simply be built from the surface down. The underlying freight fundamentals must be connected from the foundation up, rates, suppliers, customers, commodities, modes, locations, regulations, documentation, costings, margins, services and operational dependencies all need to understand their relationship to one another.

 

That is the difficult work behind genuine freight technology. The user experience may eventually become beautifully simple, but the intelligence underneath it cannot be simplistic. A system designed for freight forwarding must absorb the complexity, standardise what can be standardised, preserve flexibility where it is required and, above all, protect the operational and commercial integrity of the freight forwarder using it.

 

The challenge for freight technology is therefore not simply digitisation. The challenge is standardisation without oversimplification. Standardising freight is incredibly difficult.

 

This is one of the most misunderstood parts of freight technology. The goal is not to force every shipment into an identical process. It is to take fragmented information and thousands of potential scenarios and create enough structure around them that technology can understand, connect, automate and present them consistently, while retaining the flexibility freight forwarding requires.

 

That is hard and their is no quick fix to getting it right, that is practical or meaningful at an operational level.  

 

There is no shortcut around industry knowledge

 

This is why freight forwarding needs specialised technology. Software developers can build exceptional technology. AI can process extraordinary volumes of information. Automation can eliminate enormous amounts of repetitive work.

 

But technology still needs to understand what it is automating, why the rules exist, when those rules apply and what should happen when the real world doesn't follow the expected path.

 

That knowledge has traditionally lived inside the heads of experienced freight operators.

 

And that creates another major challenge.

 

Freight forwarding faces a skills gap. Practical education does not always replicate the reality of forwarding, while experienced operators can spend decades accumulating knowledge through exposure to different customers, commodities, trade lanes, carriers and exceptions.

 

As experienced generations gradually leave the workforce, the industry cannot afford to allow decades of operational knowledge to disappear with them. Technology has an increasingly important role in helping capture, standardise and transfer that knowledge.

 

The spreadsheet is a symptom, not the problem

 

Freight forwarding has been technologically underinvested for years.

 

Legacy platforms have frequently been supplemented by spreadsheets, shared drives, emails and manual workarounds because operators needed flexibility that their core systems couldn't always provide.

 

It is easy to look at that and say: "Replace the spreadsheet."

 

But the spreadsheet isn't necessarily the real problem.

 

The real question is:

 

Why did an experienced freight forwarder need to create that spreadsheet in the first place?

 

Perhaps the system couldn't accommodate the tariff structure.

 

Perhaps rates arrived in different formats.

 

Perhaps operators needed to combine multiple suppliers to construct a door-to-door solution.

 

Perhaps they needed greater control over margins, validity, currencies, local charges or service combinations.

 

Perhaps the process crossed systems that didn't communicate with each other.

 

Solving the problem means understanding what sits behind the workaround and then building something better.

 

That is much harder than simply digitising the spreadsheet.

 

A freight platform has to understand the journey

 

Consider quotation alone.

 

Before a freight forwarder sends one door-to-door quote to a customer, they may need to consider multiple entities and service providers across that shipment.

 

Rates need to be obtained, interpreted and maintained. Validity periods matter. Currency matters. Exchange rates matter. Origin and destination charges matter. Freight rates matter. Surcharges matter. Service options matter. Mark-ups and margins matter.

 

The best commercial outcome may involve combining different providers across different components of the shipment.

 

And quotation is only one stage.

 

The broader digital forwarding lifecycle can extend through:

 

Rate procurement → rate management → shipment costing → quotation → carrier and service selection → booking → shipment execution → documentation → compliance → milestone management → exception handling → customer visibility → invoicing → supplier management → consolidation → margin and profitability analysis. 

 

That is why genuine freight digitisation cannot be measured simply by how many manual clicks have been removed.

 

It should be measured by how much complexity has been intelligently handled.

But there is an important distinction between AI that can read freight information and technology that understands what that information means operationally.

 

If an automated process produces the wrong commercial outcome, misses an exception or interprets a rule incorrectly, someone, or something, needs to recognise it.

 

The future isn't simply AI replacing manual work.

 

It is industry intelligence + structured data + automation + AI + human judgement working together.

 

That is where specialised freight technology becomes incredibly powerful.

 

The hard work is the opportunity

 

There is no shame in freight forwarding being complicated. It is complicated because global trade is complicated. The mistake is pretending otherwise.
